MEETING MINUTES: 03/15/04

 

CALL TO ORDER: 09:00 AM at Serendipity Café at 137 Main St. in Warrenton.

 

ROLL CALL: Richard Johnson, Barry and Sally Smith, Bob Maxfield, Freda Freunfelter,  

                        Jim Scheller, Kathleen Covert, and Krista Greisen. Also in attendance,

                        Grant writer Roxanne Thomas, and Rhoda Portis from R.C.&D.

 

PREVIOUS MINUTES: March 01, 2004 minutes were read and approved.

 

NO TREASURERS REPORT AT THIS TIME.

 

NEW BUSINESS

 

No public comment.

 

1.Guest speaker Roxanne traveled from Hood River to discuss her experience in grant writing and how she may possibly aid in our efforts. Roxanne conveyed the importance of being organized when seeking grants and grant writing expertise. Not having all necessary paperwork together prior to seeking grant writing assistance will both delay the effort and cost our organization money.

 

Roxanne expressed excitement and interest in the trail and the WTA. We will be keeping her appraised on our 501C (3) filing status and she will be searching for applicable grants to suggest we apply for.

 

 2. Guest speaker Rhoda Portis traveled from Forest Grove to discuss what role the RC&D may play in our organization. Rhoda also has significant information on grant writing and applicable grants. Delaura Beach wetlands were discussed and possible problems we may encounter in that area. The idea of wood bridging over trouble spots for both viewing the wetlands as well as preserving them was mentioned.

 

OLD BUSINESS

 

1. The Vision/Mission statement was reviewed and approved as satisfactory. It was agreed that this will be an on going, weekly review as our goals and needs change.

 

2. Marc has created an updated version of the trail map that is available on the internet. Some members expressed concern that the file that was emailed was so large it was unable to be opened. Marc will be consulted regarding this.

 

3. Krista advised the 501 C (3) filing status was ongoing, perhaps half way done. A new tax form was to be filed (872C) in addition to the 501 C (3). The Secretary of State filing is complete and waiting until the 501 C (3) is complete to be filed. There was discussion over who will pay filing fees and Krista agreed to pay initial filing fees with receipt for reimbursement when monies are available.

 

4. Still seeking a committed treasurer. Krista has contacted Kenna Kay Bussert as well as Bill Cote, both CPA’s. Due to business at this time of year neither was able to commit, however both expressed interest and will attempt to attend our next meeting.

 

5. The Airport Dyke grant was discussed. Board members felt there was not enough time to meet the deadline, however, encourage Richard to present it to the commissioners anyway, as we were allowed time on the Commission Agenda to do so, and seek commission support in seeking such grants.

 

6. Freda volunteered to speak on behalf of the WTA to the Commission asking for a resolution of support.

 

7. The next ride will be the Old Stage Coach trail off of Perkins Road ending at Fort Clatsop. Participants to meet at Richards home Smith Lake off of Ridge Road at 1pm Sunday March 28, 2004.

 

8. Next meeting will be held at 6pm on April 08, 2004 at Serendipity Café at 137 Main St. in Warrenton. This will be our first night meeting with the intent that interested parties who work during the daytime will be able to attend. Members are encouraged to spread the word and invite all.
